# Privacy policy

Which personal data ClassicalConnect processes, why, and what your rights are.

Last updated: 1 November 2026

## 1. Who is responsible

[legal name], [registered address], enterprise number [BE 0000.000.000] is responsible (the "controller") for the personal data processed through ClassicalConnect. For questions or to use your rights, e-mail [contact e-mail].

## 2. What data we process

- **Account:** name, e-mail address, password (stored only as an encrypted hash), account type, and your registration and verification status.
- **Profile:** what you add yourself, such as instrument, voice or role, country and city, biography, photos and photo credits, links to recordings and social media, website, repertoire, CV and ensemble line-up. Everything on a published profile is visible to everyone.
- **Organisations and billing:** organisation name and address, VAT number, billing name, e-mail and address, the result of the VIES VAT check, and your plan and its dates.
- **Requests:** sender and recipient, type of assignment, dates, location, line-up, budget, repertoire and the message itself.
- **Payments:** plan, amount, payment status and the Mollie payment reference. Your card or bank details go straight to Mollie; we do not store them.
- **E-mail:** messages you send us, and the e-mails we send you (verification, requests, proformas).
- **Technical data:** server logs (IP address, browser, pages requested) for security, and cookies (see section 8).

## 3. Where the data comes from

Most data comes from you. We get VAT details for organisations from the European Commission's VIES system, and payment status from Mollie. Some profiles were created from public information on Klassiek Centraal (see section 4).

## 4. Profiles from Klassiek Centraal

To get the directory started, we created profiles of musicians, ensembles, organisations and venues from information already public on [Klassiek Centraal](https://klassiek-centraal.be): name, country and city, instrument or role, biography, website, social media links, photo and photo credit and, where known, a contact e-mail address.

We use that e-mail address only to send an invitation to claim the profile; it is never shown on the site. Unclaimed profiles are marked "Not claimed yet" and cannot receive requests.

We do this on the basis of our legitimate interest in offering a complete directory of professional classical musicians in Belgium and the Netherlands, using professional information the person has already made public. You can object at any time: reply to the invitation or e-mail us, and we will remove the profile.

## 5. Why we use your data, and on what legal basis

- **Running your account and profile, forwarding requests, and handling plans and payments:** to perform our agreement with you.
- **Verifying accounts, checking VAT numbers, preventing spam and abuse, and keeping the platform secure:** our legitimate interest in a reliable platform that organisations and musicians can trust.
- **Invoicing and bookkeeping:** our legal obligations.
- **Service e-mails** (verification, requests, renewals): to perform our agreement with you. We never send newsletters or marketing without your separate consent.
- **Profiles from Klassiek Centraal:** our legitimate interest (see section 4).
- **Optional cookies:** your consent.

## 6. Who receives your data

- **Visitors** see what is on published profiles.
- **Recipients of your request** receive your profile name, your e-mail address and the content of the request, so they can reply to you directly.
- **Service providers** that work for us under a processing agreement: our hosting provider (servers in the EU), our e-mail delivery service, Dexxter (invoicing, Belgium) and our accountant.
- **Mollie B.V.** (Netherlands) handles payments and processes payment details under its own privacy statement.
- **The European Commission** receives the VAT number of organisations for the VIES check.
- **Authorities**, only when the law requires it.

We never sell personal data, and we never give organisations exports of contact details.

## 7. Data outside the EU

We choose services that store data in the European Union or the European Economic Area. If a provider ever processes data outside it, we make sure appropriate safeguards are in place, such as the European Commission's standard contractual clauses.

## 8. Cookies

- **Necessary cookies** keep you logged in, keep forms working, and remember your cookie choice. These do not need consent.
- **Statistics:** we count visits with privacy-friendly statistics that do not use tracking cookies or build profiles of visitors.
- We do not use advertising cookies.

You can change your cookie choices at any time through the cookie banner.

## 9. How long we keep data

- **Account and profile:** as long as your account exists. After you close it, we delete it within 30 days. Backups are overwritten in the normal backup cycle.
- **Accounts that never confirm their e-mail address:** deleted after 30 days.
- **Requests:** 2 years after they were sent.
- **Invoices and payment records:** as long as Belgian accounting and tax law requires (currently up to 10 years).
- **Profiles from Klassiek Centraal:** until the person claims the profile or asks us to remove it.
- **Server logs:** only as long as needed for security.

## 10. Your rights

You have the right to access your data, correct it, have it deleted, restrict its use, and receive it in a portable format. You can object to processing based on our legitimate interest, including profiles created from Klassiek Centraal, and withdraw consent at any time. You can edit most profile data yourself in your account.

For anything else, e-mail [contact e-mail]. We reply within one month.

You can also file a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit, Drukpersstraat 35, 1000 Brussels, [dataprotectionauthority.be](https://www.dataprotectionauthority.be)), or with the authority in your own country, such as the Autoriteit Persoonsgegevens in the Netherlands.

## 11. Security

We use secure connections (HTTPS), store passwords only as encrypted hashes, give team members access only to what their role needs, and keep import files outside the public part of the website.

## 12. Age

ClassicalConnect is meant for professionals aged 18 and over. We do not knowingly collect data from children.

## 13. Changes

We may update this privacy policy. We announce important changes by e-mail or on the site. The date at the top always shows the latest version.
